Just like every other profession, Procurement, the backbone of organizational supply chains, has its share of success stories and failures.


While triumphs are celebrated, failures provide opportunities to learn, improve and develop future-proof strategies.

💫 Scenario 1: A company ordered high-grade steel for a construction project. However, the specifications provided to the supplier were vague, leading to the delivery of substandard materials that didn’t meet project requirements. The mistake caused costly project delays and legal disputes.


Lesson: You only get as good as your specifications. Implement a cross-functional review process before sending out RFPs or RFQs. Let engineers, procurement staff and end-users validate specifications to ensure clarity and accuracy.


💫 Scenario 2: A retailer partnered with a low-cost supplier to meet budget constraints. Midway through the contract, the supplier failed to deliver on time, citing operational issues. A lack of proper supplier evaluation process exposed the retailer to reputational damage due to stockouts during peak season.


Lesson: Ensure you have a water-tight supplier evaluation framework. Adopt the 10C’s supplier evaluation framework to assess competence, capacity, financial stability and cultural compatibility of suppliers before signing contracts.

💫 Scenario 3: A multinational corporation outsourced its IT services to a single vendor. When the vendor experienced a cybersecurity breach, the company’s operations were paralyzed. The lack of risk diversification in the vendor strategy exposed the organization to high vulnerabilities.


Lesson: Risk assessment and mitigation is most certainly not a one-time job; and it must be taken seriously! Develop a supplier risk register and conduct periodic risk assessments to identify vulnerabilities. Build redundancies into your supplier base by onboarding backup vendors.


💫 Scenario 4: A procurement team finalized a deal with an overseas supplier but failed to account for cultural differences in communication and business practices. Misaligned expectations and misunderstandings led to strained relations and order delays.


Lesson: Global supplier relationships that thrive start from a place of mutual understanding. Provide cultural sensitivity training for your procurement team. Partner with local representatives or consultants who understand the culture and can bridge gaps effectively.

💫 Scenario 5: An organization, under pressure to cut costs, chose the cheapest bid for supply of some critical equipment. The equipment failed within a few months, requiring additional investments in repairs and replacements, which exceeded the initial budget.


Lesson: If we aren’t careful, aggressive cost-cutting could invariably lead to increased costs! Incorporate TCO analysis into your procurement strategy to evaluate the long-term cost implication of supplier selection decisions. Look beyond price tags and consider durability, maintenance costs and service quality.


💫 Scenario 6: A procurement team decided on a software vendor without consulting the IT department. Post-purchase, it was discovered that the software was incompatible with the organization’s systems, leading to wasted resources and delays in implementation.


Lesson: You don’t hold all the answers; by all means collaborate with your stakeholders. Establish cross-functional committees for large procurement projects. Regularly communicate with key stakeholders to align on objectives, expectations and feasibility.
